When should I start planning traffic management for my event?

Find out when to start planning traffic management for your event and what happens along the way.

Earlier than you think. Road closures, car parks and diversions all need agreeing with other people and that takes time.

Why it takes time

Most event road closures need the council’s agreement, and often the police, fire and ambulance services as well. You may also need to tell local residents and businesses. Each council has its own process and its own notice period.

For example, one council may ask for applications at least four weeks before the event, and could say large events may take up to three months.

Our advice on timing

Start talking to us as soon as you know your date and your site. For a large event, that means months, not weeks. For a small road closure, a few weeks may be enough, but check your council’s page first.

What we’ll ask you

  • Where and when is the event?

  • How many people and vehicles do you expect?

  • Which roads are affected, and who lives or works on them?

  • Where will people park?

  • Are there other events or roadworks nearby?

What we do for you

We draw the traffic management plan, help with the closure applications, work with the highway authority, and run the roads and car parks on the day. See how we did it at The Game Fair.

Common mistakes we see

  • Leaving car parks until last

  • Not telling local residents early enough

  • Forgetting emergency access

  • Not planning how everyone leaves at the end
